Qualified Users

• Facility use is limited to activities that complement the mission of WorkSource.

• Conference rooms are available to the following groups:
o WorkSource Co-sponsored events
o WorkSource Contractors and Co-located Partners
o Economic Development Support Recipients
o Corporate/Business Entities
o Universities and Colleges
o Non-Profit Organizations
o Community Groups
o Government Entities
o Private groups or individuals that promote and/or provide employment-related services

• Customers are responsible for submitting all required reservation/approval forms.

WorkSource reserves the right to refuse any event it deems inappropriate.


Reservations

• Reservations should be made by calling our office at (512) 597-7100.

• A reservation priority system has been established to ensure proper and effective use of the conference rooms. Reservations are not made on a first-come, first-served basis. However, once reservations have been confirmed, space is guaranteed.


Room Fees/Deposits/Cancellations

• Room fees are determined by priority classification, size of room, equipment/services provided and date/time/length of event.

• A deposit of 50% of total fee is required before reservations can be confirmed.

• Purchase orders (PO) will be accepted but hard copy confirmation must be received prior to event.

WorkSource does not accept credit cards.

• Written cancellation or room change requests must be received 72 hours prior to day of reservation to receive full refund of deposit. Email or fax correspondence is acceptable.

• Reservation will be accepted no more than six (6) months in advance unless special arrangements have been made with the Executive Director or the Facility Manager.

• Co-sponsorship or in-kind services may be available in place of applicable usage fee if deemed to be in the best interest of WorkSource. For information concerning qualifications, contact Donna Crenshaw at (512) 597-7124 or donna.crenshaw@twc.state.tx.us.


Hours of Operation

• Conference rooms are available seven (7) days a week from 8 a.m. until 10 p.m.

• A security fee will be assessed for evenings (after 6:30 p.m.) and weekends.


Catering/Food/Beverage

• Customer is responsible for providing catering service.

• All catering services must be approved by WorkSource. No outside entity other than WorkSource-approved businesses will be allowed to deliver food/beverage to conference rooms.

• It is the responsibility of the customer to confirm the catering service holds all required state and city licenses necessary to provide food services to the public.

• Groups may provide their own food/beverage on an individual basis, but they will be held responsible for all clean up, spills or other damage.

• No alcoholic beverages will be allowed in the facility.


Podium/Posters/Easels/Program Materials

• Customers may request use of a podium (no cost) when they make reservations.

• No posters, art work, meeting notices, etc. are allowed in the conference rooms unless approved by WorkSource .

• Using wall surfaces to hang presentation material is prohibited. However, Post-It Self-Stick Pads are permitted.

• Easels, easel pads/paper, markers, etc. must be furnished by the customer.

• Customer is responsible for delivery and clean-up of any program material.

WorkSource can not provide storage space for any customer program material or equipment.


Security

• A security fee will be assessed for evening (after 6:30 p.m.) and weekend use. Security fee is $20 per hour with a minimum of four (4) hours.

• No discounts/priority pricing will be given on security fees.

WorkSource is not responsible and will not be held liable for any lost items or damaged equipment.
